Privacy statement for Sport NZ research

Sport NZ undertakes research to gain insight into the sport and recreation system within New Zealand, including:  

  • generating evidence that aligns with the organisational purpose of Sport NZ (i.e. to support quality experiences in play, active recreation and sport to improve levels of physical activity and, through this, ensure the greatest impact on wellbeing for all New Zealanders
  • monitoring the physical activity levels, types of physical activities, and motivations and barriers of New Zealanders
  • understanding the physical activity experiences of students in the education system
  • understanding the experience of club members when participating in their chosen sport
  • understanding the experiences of our stakeholders in working with Sport NZ
  • understanding the makeup of the sport and recreation workforce 
  • supporting Regional Sport Trusts to understand the experiences of their stakeholders  

Where appropriate, we conduct research using completely anonymous information. If this is not the case, we will have outlined that clearly to research participants.  

On other occasions we may collect personal information, which is information that may directly identify you such as your name, the sports club you attend and your date of birth.    

In these circumstances, information will be deidentified before results are shared or combined with others, unless you have consented to being identified.  Even where you have consented to this, you would not be identified in any externally shared report or publication of the research. 

Collection and use of information 

When Sport NZ collects personal information it will usually do so directly from you or by engaging a research agency to collect information on our behalf. Only personal information that is required to conduct the research you are participating in will be collected from you. 

When we collect personal information from you we will ask for your consent to do so. If you are under 16 we will seek consent from your parent or caregiver.  

Sport NZ will use your information for the purpose for which it was collected, as stated at the point of collection. We may also ask for personal information for the purposes of combining data sources, such as to link with other data owned by Sport NZ or with a third party’s data or research. Again, consent will be gained before collecting this information. 

Research may be undertaken using a personal invitation to participate.  When we do this, we have collected contact information either from our own data (e.g., our own stakeholder contact details) from one of our sector partners (e.g., sport club participants), or from a permitted resource such as the electoral role. When we use contact details from a partner, we only use these details to complete the research, before which findings are deidentified. 

Sport NZ may collect data from third parties that contains personal information. We only do this for research purposes, and will not publish any research in a form that could identify any individual, unless we have gained their consent to do so.  

We may use your information for other purposes, but only when authorised by you or required or permitted by law. Sport NZ will not use your personal information to advertise, promote, or sell third-party goods or services directly to you. 

Collection and use for administrative purposes 

Sport NZ or an agent acting on its behalf may also collect your information for administrative reasons, for example to:  

  • operate and manage online research
  • identify your browser or device
  • display information more effectively
  • enable certain features and functionality 
  • operate and manage IT and security systems
  • customise or personalise your user experience 
  • manage any incentive to complete a survey.  

Such information may be collected through cookies (small text files placed on your device) and similar technologies (e.g., web beacons and pixel tags). If you do not want data to be collected from your device by cookies, most browsers allow you to decline the use of cookies. Agents acting for Sport NZ may use cookies for their own purposes, which you can access via that agent’s website. Sport NZ uses a survey platform provided by InMoment, their privacy policy can be found at https://inmoment.com/en-nz/privacy-policy/ 

How, and for how long, do we store our data 

Sport NZ will retain your personal information as long as necessary for the fulfilment of the purposes set out in this Privacy Statement, unless applicable law or professional obligations requires a longer retention period, or we have your consent to retain information. 

Data that Sport NZ retains will be deidentified following completion of the research project, unless consent has been given to include personal information.   

Contact details and any details collected only for the purpose of delivering incentives such as prize draws will be deleted prior to transferring data to the Sport NZ data warehouse. 

Sport NZ stores our data within our secure data warehouse.  All staff are required to adhere to the Group Information Security Policy, which requires data only to be stored in authorised systems and that information and systems must be protected from unauthorised use or disclosure.    

If we have collected data through an agent (such as a research agency) they will store data within their own secure systems, which Sport NZ will have approved.  The data will be deleted from the agent’s systems once successfully transferred to Sport NZ’s data warehouse, and on completion of the project contract.   

Disclosure of your information 

Sport NZ does not share your information unless one of the following applies:  

  • you have given consent for us to do so
  • it is deidentified and provided to third parties for statistical or research purposes 
  • we are required or permitted to by law.  

When Sport NZ discloses your information to third parties for research purposes it will ensure that your information is not used, or published, by these third parties in a way that could identify you, unless those details are necessary for the purpose of combining data and you have consented to such use beforehand.  Once data is combined it is deidentified before further use or publication. 

Sport NZ only shares data with trusted third parties, such as academic institutions and Statistics New Zealand, who may combine the survey data with other routinely collected government data in the Integrated Data Infrastructure (IDI). Your choices and legal rights  

You have the right to request access to any personal information we hold about you and if it is wrong, ask us to correct it. You are welcome to contact us if you have any complaints or concerns about anything covered in this privacy policy. This Privacy Statement is centred around your rights and Sport NZ’s obligations under the Privacy Act 2020, but our data environment is also grounded in the principles of Te Mana Raraunga (Māori Data Sovereignty principles, see: Te Mana Raraunga) for all Tangata Whenua and Tangata Tiriti data. While we are not yet fully practicing all these principles, we are working on a plan to implement them across the group to enhance the way in which we care for Māori data. These principles will guide all our data governance efforts.
